Draft Your Press Release.

Use the four prompts below with your preferred AI tool (ChatGPT, Manus, Claude, or similar) to draft each section of your press release. Copy each prompt, insert your details in the square brackets, and paste the AI output into a document. Then use the quality checklist before proceeding.

The Four-Part Prompt Framework

The Opening Paragraph

Use this prompt to draft the opening paragraph, the most important part of any press release:

Write the opening paragraph of a professional press release in UK English. Use the following facts:

Company: [INSERT COMPANY NAME]
Announcement: [INSERT THE CORE NEWS — WHAT IS HAPPENING]
Who is involved: [INSERT KEY PEOPLE / ORGANISATIONS]
When: [INSERT DATE OR TIMEFRAME]
Where: [INSERT LOCATION]

The paragraph must answer Who, What, When, Where, and Why in no more than 80 words. Use formal, authoritative language appropriate for a national broadsheet. Do not use marketing language or superlatives.

The Supporting Body

Use this prompt to generate the supporting paragraphs that provide context and depth:

Write two supporting paragraphs for a press release in UK English. The context is:

Core announcement: [INSERT ANNOUNCEMENT SUMMARY]
Why it matters: [INSERT THE SIGNIFICANCE / IMPACT]
Industry sector: [INSERT SECTOR]
Target audience: [INSERT WHO SHOULD CARE ABOUT THIS NEWS]

Each paragraph should be no more than 60 words. Use formal language. The first paragraph should provide background context. The second should explain the broader significance or impact.

The Executive Quote

Use this prompt to refine the executive quote you provided in the intake form:

Refine the following executive quote for inclusion in a formal press release. The quote must sound natural when spoken aloud, be attributable to a named individual, and add genuine insight rather than generic praise. Keep it between 30 and 50 words. Write in UK English.

Original quote: [INSERT YOUR QUOTE FROM THE INTAKE FORM]
Speaker name: [INSERT NAME]
Speaker title: [INSERT TITLE]
Company: [INSERT COMPANY NAME]

The Boilerplate

Use this prompt to create the About section that appears at the end of every press release:

Write a professional company boilerplate for the end of a press release. This is the About [Company Name] section. Keep it to 50 to 70 words. Write in UK English. Include:

Company name: [INSERT COMPANY NAME]
What the company does: [INSERT BRIEF DESCRIPTION]
Key facts (founding year, size, location, notable clients or achievements): [INSERT ANY RELEVANT FACTS]
Website: [INSERT WEBSITE URL]

Do not use first-person language. Write in the third person.
